Hosting Events Safely

As a host, you are independently responsible for planning, running, and managing your event, including the safety of the venue and the conduct of attendees. GatherRound does not supervise or control hosted events.

As a host, you set the tone for your events. Here's how to create safe, welcoming experiences.

Key Responsibilities

  • Screen attendees through RSVPs
  • Set clear expectations upfront
  • Be prepared to handle issues
  • Know your legal responsibilities

Before Your Event

Set Clear Expectations

  • Write detailed event descriptions
  • Specify any age restrictions
  • List house rules or venue policies
  • Be clear about what's provided vs. what to bring

Use RSVP Approval

  • Enable "Require RSVP Approval" for more control
  • Review profiles before approving
  • Look for red flags (new accounts, no history, aggressive messages)
  • Don't feel obligated to approve everyone

Prepare Your Space

  • Ensure adequate lighting
  • Remove valuables from accessible areas
  • Have a first aid kit available
  • Know emergency exit routes

During Your Event

Welcome & Orient

  • Greet attendees as they arrive
  • Point out bathrooms, exits, and common areas
  • Remind everyone of any house rules
  • Make introductions to help people connect

Stay Present

  • Don't disappear for long periods
  • Keep an eye on group dynamics
  • Check in with quieter attendees
  • Watch for signs of discomfort

Handle Issues Promptly

  • Address rule violations immediately
  • Don't let small issues escalate
  • Be willing to ask someone to leave if necessary
  • Document incidents for future reference

Hosting at Home

If hosting at a private residence:

  • Consider the privacy of your address
  • GatherRound hides exact addresses until RSVP approval
  • Start with trusted community members
  • Have a plan if you need to ask someone to leave

Managing Difficult Situations

Disruptive Behavior

  1. Address the behavior privately first
  2. Give one clear warning
  3. Ask them to leave if behavior continues
  4. Block if necessary

Conflicts Between Attendees

  1. Separate the parties
  2. Hear both sides calmly
  3. Make a decision about continuing
  4. Follow up with reporting if needed

Emergencies

  • Know the address to give emergency services
  • Have a phone accessible
  • Know basic first aid
  • Have a plan for evacuating if needed

Legal Considerations

As a host, you may have responsibilities including:

  • Following local gathering regulations
  • Ensuring venue safety
  • Being aware of liability for incidents
  • Respecting noise ordinances

GatherRound does not provide legal advice. Consider consulting a local attorney if you have concerns.
